Receptionist

Duties

Essential duties and responsibilities include the following:

  • Meet and greet visitors in a professional way that reflects the organisational values
  • Answer phones, taking and distributing detailed accurate messages
  • Manage meeting room logistics – bookings, re-organising outlook schedules to accommodate changes, ensuring appropriate rooms have been booked
  • Maintain presentation of reception area and meeting rooms to a high standard at all times
  • Manage the distribution of incoming and outgoing mail correspondence and courier services
  • Manage the ordering and monitoring of stationery supplies and the maintenance of office equipment
  • Reconciliation of travel bookings and blackberry usage for the organisation
  • Maintain staff telephone lists
  • Organise catering for meeting attendees, as required
  • Assist with logistics for Board Meeting
  • Assist with the preparation of Board papers
  • Make travel and accommodation bookings
  • Provide support to other members of Corporate Support Team, including document typing, formatting and photocopying, when required
  • Responsible for regularly updating information & procedures in Administration Manual
  • Create accounts with suppliers as required

Eligibility

The position requires an individual that is an accomplished Receptionist and has had substantial experience in undertaking administrative duties using the Microsoft suite.

High attention to detail with a strong proactive approach to management of the reception and meetings area is important.

The position requires flexibility, excellent time management and organisational skills and the ability to establish priorities and meet deadlines with limited supervision.
